Inbox Spam Filter is operated by InfoHub Works Limited (124 City Road, London, England, EC1V 2NX). This Privacy Policy describes how we collect, use, store, and share information when you use our website (inboxspamfilter.com) and the Inbox Spam Filter app for HubSpot.
Inbox Spam Filter is a HubSpot technology partner and is available on the HubSpot Marketplace.
1. Who this policy covers
This policy covers visitors to our website and customers who install Inbox Spam Filter in a HubSpot portal. If you process personal data of your own customers or leads in HubSpot, you remain the controller of that CRM data; we process it as a service provider to operate the integration.
2. Information we collect
- Account and contact data you submit (for example name, email, company, and messages via our contact or lead forms).
- HubSpot connection data after OAuth install (portal identifiers, tokens we store securely to call HubSpot APIs, and configuration you set in the app).
- Shared Inbox / conversation content read from HubSpot to score messages for spam.
- Contact and contact property data when spam tagging is enabled (for example writing
spam_filter_status). - Usage and technical data needed to operate, secure, and improve the site and app (for example logs, approximate location from IP, and device/browser metadata).
3. How data flows with HubSpot
After you connect HubSpot with OAuth, data typically flows as follows:
- Inbox Spam Filter reads Shared Inbox conversation emails from HubSpot.
- Message text used for scoring may be sent to Google Gemini (Google) for AI evaluation.
- Scores and reasoning are shown in the Inbox Spam Filter dashboard.
- When configured, the app writes contact property updates back to HubSpot (one-way into HubSpot for those properties).
Objects involved (aligned with our Marketplace Shared data): Conversations (emails), Contacts, and Contact Properties.
4. Privacy controls for AI evaluation
On Basic and Pro plans, you can enable Strip email addresses for AI evaluation so email addresses are removed from From, subject, and body before content is sent for Gemini scoring. Your HubSpot records remain unchanged by this toggle. The Starter plan does not include this feature. See Enable strip email addresses.
5. How we use information
- Provide, maintain, and improve the spam scoring service and website
- Authenticate HubSpot connections and apply your portal settings
- Respond to support and sales inquiries
- Send transactional notices related to billing or product operation when needed
- Monitor reliability, prevent abuse, and comply with law
6. Subprocessors and sharing
We do not sell your personal data. We share information with providers required to operate the service, including:
- HubSpot — CRM / Shared Inbox platform you connect; also forms and marketing tools we use on our site
- Google (Gemini) — AI scoring of message content you authorize the app to process
- Hosting and infrastructure providers that run the website and app backends
- Payment / billing providers when you purchase a paid plan
These parties process data under their own terms and security controls. We share only what is needed for the stated purpose.
7. Retention
We retain HubSpot OAuth tokens and app configuration while your portal remains connected and for a limited period afterward for security and support. Scoring logs and dashboard history may be retained for operational and billing purposes and are typically removed or made unavailable after disconnect/uninstall according to our systems. Website form submissions are retained as needed to respond to you and keep business records. You can request deletion as described below.
8. Security
We use reasonable technical and organizational measures to protect data in transit and at rest, restrict access to systems that handle HubSpot tokens, and monitor for abuse. No method of transmission or storage is completely secure.
9. Your rights (including GDPR)
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing, and to data portability. To exercise these rights, email contact@inboxspamfilter.com. If we process HubSpot CRM data on your behalf, we will assist you with requests that relate to our systems; portal-level CRM changes are also available in HubSpot.
10. Cookies
We use cookies and similar technologies for essential site functionality and analytics. You can control cookies through your browser settings.
11. International transfers
We may process data in the United Kingdom, European Economic Area, and other countries where our providers operate. Where required, we use appropriate safeguards for cross-border transfers.
12. Children
The service is not directed to children under 16, and we do not knowingly collect their personal data.
13. Changes
We may update this policy. The “Last updated” date at the top will change when we do. Continued use of the site or app after changes means you accept the updated policy.
