Apps Usage: Report Overview and All Tabs
The Apps Usage report in Workalizer shows usage and activity for Gmail, Drive, Meet, Chat, and Gemini in one place. Each app has its own tab with charts, stats, and (where available) AI Insights and search. This report is part of the Reports area and is the main source for app-level metrics.
Report Access
Go to /apps/. Use the top-level tabs to switch between Gmail, Drive, Meet, Chat, and Gemini. Use Org Unit and Period filters at the top to scope all tabs. Additional entries under Apps include Drive Advanced Search (document search) and Search Meetings for finding specific meetings. Functionality by Tab
Gmail Tab
Gmail Activity: Compares emails sent and emails received, grouped by time periods. Filter by org unit, period, and (where supported) activity label. Use it to monitor communication patterns and activity levels and to compare current vs previous period. Supports AI Insights.
Drive Tab
Document activity, detailed reports, and AI-powered insights. All widgets support AI Insights.
- Documents Bar Chart: Document activity in a bar chart by time period. Filter by org unit, user, and activity label. Shows creation and update trends.
- Docs Report Table: Detailed report of document activities and statistics—creation, editing, viewing, comments and suggestions by document type, user, org unit, and activity label over the selected period.
- Insights Table (AI Document Insights): AI-driven overview of document activity in a filterable table—content engagement, collaboration, and workflow status at a glance.
Meet Tab
Meeting activity, duration, types, and AI-generated meeting insights. All widgets support AI Insights.
- Meet Bar Chart (Meeting Duration Usage Trend): Meeting activity and duration as a bar chart by time period. Filter by user or org unit. Supports AI-driven insights for meeting efficiency.
- Meetings Stats (Meetings Statistics Overview): Key metrics: total meeting duration, daily average duration per user, recurring meeting time, scheduled meetings participation rate, with comparisons to previous period.
- Meetings Types (Meeting Types Analytics): Table of meeting types—company internal, recurring, occasional, with external participants—with meeting counts and duration per type and comparison to previous period.
- Meet Insights Table: AI-driven insights into meeting patterns and efficiency—meeting types, frequency, duration, and improvement areas (e.g. long recurring meetings).
Chat Tab
Chat activity and summary stats. Both widgets support AI Insights.
- Chat Bar Chart (Chat Activity Bar Chart): Chat communication patterns—grouped bar chart of message volumes by user over time. Filter by org unit, user, timeframe, and activity label.
- Chat Stats: Posted messages, messages in spaces, daily average per user, with comparisons to previous period. Filter by org unit, user, period, and activity label.
Gemini Tab
Gemini (AI) usage across Workspace apps. All widgets support AI Insights.
- Invocations by App (Gemini Invocations and Time Spent by App): How often Gemini is used across Workspace apps and estimated collective time spent in each app—adoption and engagement over the selected period.
- Invocations by Action (Number of invocations by Action): Invocation counts by app over user-defined periods, with comparison to previous period—how Gemini is used by action type.
- Power AI Users: Users who actively use Gemini—invocation counts, time spent, comparisons to previous period and team averages. Filter by org unit, user, and time range.
Related App Entries
Drive Advanced Search: Searchable table of documents with filters; shows activity metrics (edits, views, comments, suggestions, sharing). Access from the Apps area for document discovery and compliance. Search Meetings: Searchable meeting table and filters to find specific meetings by criteria.
