Document Alerts: Configuration and Managing Rules
Document Alerts Configuration in Workalizer is where you create and manage the rules that trigger alerts when specific actions occur on chosen Drive documents. You define which documents to monitor, which triggers to use (edit, copy, download, share, publish), and exceptions (e.g. exclude the document owner). Where to Find Configuration
Go to /doc-alerts/ and open the Document Alerts Configuration tab (or Config tab). You will see the Document Alerts Configuration section—a list of existing alert rules—and the option to add a new configuration, which opens the Document Alert Configuration modal.
Functionality: Configuration Section
The configuration section is the central place to manage alert rules. You can:
- View all existing document alert configurations.
- Enable or disable a rule without deleting it.
- Edit an existing rule (documents, triggers, exceptions).
- Delete a configuration when it is no longer needed.
- Add a new configuration (opens the configuration modal).
Each rule applies to a set of documents and a set of triggers; when a user performs one of those actions on one of those documents (and no exception applies), an alert is created and appears in the Document Alerts Table and Alerts Summary Chart.
Functionality: Configuration Modal
When you create or edit an alert, the Document Alert Configuration modal lets you set:
- Which documents the rule applies to—e.g. by document title, document ID, or by selecting specific files. You can target financial docs, project folders, client docs, or any subset.
- Which triggers to monitor: Edit, Copy, Download, Share, and Publish. Select one or more per rule.
- Exceptions—e.g. do not trigger an alert when the document owner performs the action, so normal editing by the owner does not flood the alerts view.
After saving, the rule is active (if enabled). Triggered events appear in the Document Alerts tab. Granular control over actions and exceptions allows you to tailor monitoring for compliance, security, and operational oversight.
